Privacy Policy

Fort Hunt Filters is a trade name of ILYSTICS LLC, a Virginia business based in Alexandria, VA ("we", "us"). This policy explains what information we collect when you use our website or our in-home services, how we use it, and the choices you have.

1. Information we collect

Information you give us when you request a visit or talk with us:

  • Your name, phone number, street address, and email address (email is optional)
  • The plan you're interested in, your preferred visit times, and the number of heating and cooling systems in your home
  • Any notes you choose to share (for example, where your filters are or whether you have pets)
  • Whether you agreed to receive text messages

Information we record while providing service, such as the equipment in your home, your filter sizes and part numbers, your refrigerator model, visit dates, what we replaced, and billing records.

Online account. If you set up an online account, we store your password only as a one-way scrambled hash (we can't read it), and we record when you log in.

Information collected automatically. When you submit a form or sign in, our server records your IP address and the time of the request in security logs, to prevent spam and abuse. Our spam limits store only a scrambled (hashed) form of your IP address.

Cookies. Our website does not use cookies for tracking or advertising, and we do not use analytics or ad networks. A security cookie keeps you logged in while you use your online account (and our staff while they use the admin area). It ends when you log out, close your browser, or stop using the account for a while. If you choose "Keep me logged in on this device," a second security cookie keeps you logged in on that device for up to 30 days, until you log out or change your password.

Payment information. Card payments are processed by Stripe. When you save or use a card, you type it into Stripe's secure page; our website never sees or stores your full card number. Stripe tells us the card brand, last four digits, and expiration date so you can recognize the card on file.

2. How we use your information

  • To schedule, confirm, and perform your visits
  • To contact you about your appointments and your account by phone or email, and by text message only if you opted in
  • To bill you and keep records of the work we did
  • To protect our website and customers from spam, fraud, and abuse
  • To meet our legal, tax, and accounting obligations

We do not sell or rent your personal information, and we do not use it for advertising.

3. Text messages

We only send text messages if you check the text-message box when booking or otherwise give us permission. Messages are about your visits, such as reminders, arrival notices, and schedule changes. Frequency is typically 1–4 messages per visit. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Agreeing to texts is never required to book a visit.

We do not share your mobile phone number or text-message consent with third parties or affiliates for their marketing purposes.

4. When we share information

We share information only as needed to run our business:

  • Service providers that host our website and email; our payment processor, Stripe (see Stripe's privacy policy); and, when we use them, providers for text messaging and bookkeeping. They may use your information only to provide services to us.
  • Legal reasons, if required by law or to protect the rights and safety of our customers, our business, or others.
  • Business transfers, if our business is sold or reorganized, in which case this policy continues to apply to your information.

Website resources from other companies. To display our website, your browser loads fonts from Google Fonts and page code from cdn.tailwindcss.com and unpkg.com. Those companies receive your IP address and basic browser information when this happens, under their own privacy policies. They do not receive anything you type into our forms.

5. How long we keep information

We keep customer records while you are a customer and for up to 3 years afterward for tax and service records. Booking requests that don't become customers are deleted within 12 months. Security logs are overwritten regularly. You can ask us to delete your information sooner, unless we're legally required to keep it.

6. How we protect information

Our website uses encrypted connections (HTTPS). Customer records are kept in a private database that can't be reached from the web. Passwords are stored only as scrambled hashes, login attempts are limited, and the account links we email expire and work only once. Emails are sent over encrypted connections. No system is perfectly secure, but we work hard to protect your information.

7. Your choices

  • Ask us what information we have about you, or ask us to correct it
  • Ask us to delete your information
  • Stop text messages at any time by replying STOP, or stop other contact by telling us

8. Children

Our services are for homeowners and residents. We do not knowingly collect information from children under 13.

9. Changes to this policy

If we change this policy, we'll post the new version here and update the date at the top.
